Job Description:
Position Overview:
The Office Administrator will play a crucial role in ensuring the smooth and efficient operation of our office.
This individual will be responsible for managing administrative tasks, providing support to staff, and facilitating communication within the company.
Key
Responsibilities:
Administrative Support:
Manage incoming calls, emails, and correspondence.
Maintain office supplies inventory and place orders as necessary.
Coordinate meetings, appointments, and travel arrangements for staff.
Prepare and distribute documents, reports, and presentations as needed.
Office Management:
Oversee the organization and tidiness of the office space.
Ensure office equipment is in working order and arrange for repairs when necessary.
Implement and maintain office policies and procedures.
Assist with the onboarding process for new employees.
Project Support:
Assist project managers with administrative tasks related to construction projects.
Maintain project documentation and ensure accuracy and completeness.
Liaise with subcontractors, suppliers, and clients as directed.
Financial Administration:
Assist with invoicing, billing, and accounts payable/receivable as required.
Support the finance department with data entry and reconciliation.
Assistant to the Owner:
Serve as a point of contact for owner.
Facilitate schedule and needs of the owner.
Relay messages and directives accurately and promptly for owner.
Qualifications:
Proven experience as an office administrator, office assistant, or similar role.
Proficiency in MS Office (Word, Excel, Outlook) and other relevant software.
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Ability to prioritize tasks and work effectively under pressure.
Excellent communication and interpersonal skills.
Familiarity with the construction industry is a plus.
Bilingual in Spanish and English is a benefit but not required.
Education:
High school diploma or equivalent; additional certification or training in office administration or a related field is advantageous.
